Deputy Director of Transport

Job Context :

The Deputy Director of Transport plays a vital role in ensuring safe, efficient, and reliable transportation services that support the university`s community and activities. Following are the Roles and responsibilities of Deputy Director, Transport and the required qualifications and skills that he should have.

Job Responsibilities:
  • Manage the pool of transport, properly manage transport assets and fuel use, and arrange the insurance of vehicles (including annual vehicle insurance renewals for all vehicles and coordination and regular liaison with approved insurance companies in case of claims).
  • Ensure that vehicles are driven safely, damages are reported, and the vehicles' internal equipment (tools, communication kit, etc.) is complete and serviceable.
  • Correctly manage log books and the necessary records in them.
  • Liaise with security personnel on security-related transport issues, such as booking in/out, radios, etc.
  • Manage, supervise, and motivate the transport planner and drivers with integrity and foresight, and ensure, in accordance with HR procedures and policies, that the drivers maintain the highest standards of accountability and professionalism.
  • Effectively and proactively coordinate the daily planning/allocation of drivers' routine and special tasks to ensure the accuracy and efficiency of transport operations.
  • Actively coordinate weekend vehicle hire process, report on all accidents, carry out random mileage checks, prevent vehicle misuse, and raise invoices as per the laid down procedure.
  • Carry out procurement of fuel and oils and purchase overseas and local parts and also, maintain accurate and real-time usage/consumption records for ease of reference.
  • Maintain department's vehicle running cost data capturing fuel and maintenance data and making various recommendations on cost reduction;
  • Monitor and update transport section budgets by managing expenditures according to budget.
  • Maintain accurate filing systems, with documented and supported records of actions for audit purposes.
  • Contribute to weekly and monthly Transport Reports for the management team pursuant to the prevailing policies and procedures.
  • Play a key and active role in the implementation of the current transport review processes.
  • Sometimes visits to the relevant office and also transport routes may be required.
  • Any other duties that might be assigned by the authority.
